Description

Distinguishing Features of the Class

Provides technical assistance and support to the City Clerk office; performs directly related work as required.

Acceptable Experience and Training

  • Graduation from an accredited college or university with a Bachelor's Degree in Public or Business Administration or a related field; and
  • Considerable related office administration experience; or
  • Any equivalent combination of experience and training which provides the knowledge, skills and abilities necessary to perform the work.
  • Certified Municipal Clerk (CMC) accreditation completed within (6) years of appointment.

Required Special Qualifications

  • Candidates for positions in this class must pass a post-employment offer physical examination and drug screen;

Examples of Essential Work (Illustrative Only)

  • Provides technical assistance and support to the City Clerk and Chief Deputy City Clerk and acts in the absence of both the City Clerk and the Chief Deputy City Clerk ;
  • Assists in preparation and coordination of Council meeting agendas;
  • Coordinates all aspects of the Licensing Division of the office and coordinates related user training.
  • Upon request, certifies City Council documents and accepts service on behalf of the City.
  • Attends council meetings in absence of City Clerk or Chief Deputy City Clerk and provides support in taking minutes and recording votes;
  • Assists in preparation and coordination of agenda summary minutes ;
  • May prepare and monitor Department budgets and prepare requisitions and purchase orders;
  • May prepare and track ordinance items for Council agenda;
  • May maintain City Council Minutes Index and retrieve related digital documents;
  • May maintain Clerk and Mayor web sites;
  • May submit biweekly payroll;
  • Answers inquiry calls from public and may receive payments;
  • Supervises License Division personnel, and provides direction to City Clerk office staff;
  • Provides needed information and demonstrations concerning how to perform certain work tasks to new employees in the same or similar class of positions;
  • Keeps immediate supervisor and designated others fully and accurately informed concerning work progress, including present and potential work problems and suggestions for new or improved ways of addressing such problems;
  • Attends meetings, conferences, workshops and training sessions and reviews publications and audio-visual materials to become and remain current on the principles, practices and new developments in assigned work areas;
  • Responds to citizens' questions and comments in a courteous and timely manner;
  • Communicates and coordinates regularly with appropriate others to maximize the effectiveness and efficiency of interdepartmental operations and activities;
  • Performs other directly related duties consistent with the role and function of the classification.
